When I came across the article; “Leaked documents reveal only one GP covered more than 900,000 people in Norfolk and Wisbech” I was quite stunned. I think being with Thinking Software has played its part for sure, however some of the things highlighted just seem alarming with reference to workforce management.
The resource devoted to the Health sector is a common theme in current affairs and it is unsurprising with some of the errors that are occurring that are highlighted in the article. In the opening paragraph it obviously discusses doctors being responsible for far too many patients, but it even goes on to say that “There are also several unfilled GP shifts during the day on Saturdays and Sundays.”
The article also goes on o say; “there used to be up to four out-of-hours GPs working overnight based in Norwich, Thetford, North Walsham, and King’s Lynn, when the service was provided by the ambulance trust. But the rotas suggest IC24 is struggling to fill overnight GP shifts at Norwich and Thetford, while shifts at King’s Lynn are covered by advanced nurse practitioners or emergency care practitioners (ECP).”
With reference to us here at Thinking Software, we are all about workforce management and understanding staff Time & Attendance. As that is the case and working with the software for some time, I struggle to see how organisations manage without the assistance of a tool like Rota Horizon. Reading articles like this reassures me that there is still plenty more great work we can be doing to assist those who are currently struggling to manage and plan their staff effectively.
This is reinforced by Lindsay Southward, Group Director of People & Development at Malmaison & Hotel Du Vin, clients we are very proud to work for. When discussing their solution after using for a short period she advised: “The system allowed us to manage staff attendance at work, and to cut payroll cost through effectively managing start and end times, planned hours, overtime and breaks.”
Rota Horizon has a very easy to use Department Rota that allows you to effectively plan staff based on a number of different factors. You can separate employees by department viewing a week of staff members in the shifts they are working. You can also filter that week view by a number of aspects as well, including absence, exceptions and missing swipes. The shifts can also have rounding rules applied to them, ensuring that you communicate the correct hours staff have worked with any form of payroll system you currently use.
With reference to resource planning Rota Horizon also has a very powerful Workgroups function to streamline resource planning and reduce unnecessary time lost planning complicated shift patterns.
The Workgroups function allows you to plan working cycles for any period of time, with a great deal of automation involved. For example, if a department works a repeating 4 week cycle, you can save this as a template and roll it out for a specific date period.
This is also helpful for grouping employees that work the same hours on a weekly basis (ie Monday – Friday 9 – 5). Employees in the same department doing the same roles can be rostered as far into the future as you choose, with Rota Horizon expecting clocking in & out activity at the appropriate times, providing you with the ideal tool to manage you workforce efficiently.
