I came across the article: “Out of Office on! – Preparing your workforce for the summer holidays.” (July, 2018, http://hrnews.co.uk) As the title suggests, it makes some very helpful suggestions to ensure you have minimal disruptions in your organisation with the expected high volume of staff taking their Annual Leave.
The Article recommends considering arguably 2 of the more obvious aspects in ‘Re-allocating of Staff’ and the introduction of ‘freelancers,’ which are logical suggestions when resource may be low in specific areas that can be filled by alternative people. However the article also looks to suggest Team Building if used correctly can aid the summer situation.
The suggestion is that if morale is high, then the likelihood is that you wont have unauthorised absence to contend with in this period, which is understandably rife for Annual Leave requests. It certainly makes sense, employees that feel that they are valued within an organisation are likely to feel more motivated to be at work.
The article also states: “Summer is the ideal time to install any new systems as well as undertake upgrades. With the office being quiet and computers not being used to their maximum capacity, summer is the perfect time to do those jobs which may have otherwise been put off.”
So how does this apply to us here at Thinking Software then?
For those of you not familiar with us here at Thinking Software, we have developed and support our Enterprise Time & Attendance solution, Rota Horizon.
It provides you with the perfect Workforce Management tool to accurately record and monitor employee attendance, make staff planning far easier and communicate employee hours with any form of Payroll Software.
Rota Horizon also seamlessly integrates with the majority of Access Control Manufacturers hardware, more information on those we currently integrate with can be found Here.
With reference to the article being discussed specifically, here at Thinking Software we certainly sympathise with any organisation when it comes to staff planning. It’s not an easy task at the best of times, so without the tools available at your disposal to make the job easier it can certainly be challenging to the most efficient members of staff.
Don’t worry, Rota Horizon can help you produce staff rotas and improve efficiency while reducing payroll cost and maintaining service standards. Rotas are colourful and visual, which makes them easy for users to create and manage. Horizon will also help by prompting the user to pick the most suitable employee for a particular shift.
The picture below highlights exactly how this achieved. You can see a conventional working week from Monday through to Sunday. Different coloured slots represent different things with reference to their planned shifts that you can see within the slots. Best choice in the middle highlights the parameters managers can use to auto populate un-allocated shifts.
On top of this there is a Rota Rules Section that looks to assist from a compliance perspective as well as ensuring you have the correct resource devoted to each department. This will not only make sure that you have the minimum numbers of each employee working at the correct times, but also ensuring no other rules are broken like the Working Time Directive.
